Who we are
Phoenix Hill Flower Farm ("we", "us") is a flower farm and shop in Louisville, Kentucky. Our website is phoenixhillflowerfarm.com (https://www.phoenixhillflowerfarm.com/).

What we collect
When you place an order: your name, email address, postal address, phone number, what you ordered, and delivery or pick-up details.
When you pay: payment card details go directly to our payment processor and are handled by them, not by us. We can see that a payment succeeded and the last digits of a card. We never see or store your full card number.
When you join our newsletter or take a flower subscription: your name and email address, and your subscription preferences.
When you contact us about a wedding or event: whatever you choose to tell us — your date, venue, budget, and what you are hoping for.
When you simply browse: our website runs on Wix, which sets cookies and collects standard technical information such as your IP address, browser, and the pages you visited. Wix uses this to keep the site working and to give us visitor statistics.
Why we use it
To take, fill, and deliver your order.
To answer your questions and plan your event.
To send you the newsletter or subscription updates, if you asked for them.
To keep records we are required to keep, such as sales records.
To keep the shop working and secure.
We do not sell your information. We do not share it with anyone except the companies that help us run the business, listed below.
Who else touches your information
Wix — hosts our website and shop, and processes orders.
Our payment processor — takes payments. Card details go to them directly.
Delivery services — where an order is delivered rather than collected.
Google — carries the email you send us, and provides the tools we use to read and organise our own inbox.
OpenAI — provides the AI processing used by our private business assistant. Relevant email content may be processed by OpenAI only when needed to provide the inbox assistance requested by the farm owner.
Each of these has its own privacy policy covering what it does with the information it handles.
How our private Gmail assistant uses Google data
Phoenix Hill Flower Farm uses a private internal assistant to help the farm owner manage Phoenixhillflowerfarm@gmail.com. It is not a public email service and does not provide other people with access to the mailbox.
After the owner grants permission through Google OAuth, the assistant can access Gmail message information including senders and recipients, subject lines, message bodies, threads, attachments, and labels. It uses that information only to show recent messages, summarize and prioritize correspondence, organize the inbox, and prepare or carry out mailbox actions specifically requested by the owner.
The Gmail permission granted to the assistant technically permits it to read, compose, send, and organize email. Our own safety controls require the owner to review and specifically approve the exact text before any message is sent. The assistant does not permanently delete email.
OAuth credentials are stored securely on a computer controlled by the farm owner. Email is retrieved as needed; the assistant does not create a separate permanent copy of the Gmail mailbox. Requested summaries, drafts, and operational records may be retained only as long as needed to run the farm, provide the requested feature, maintain security, or meet a legal obligation.
We do not sell Google user data, use it for advertising, or use it to determine creditworthiness. We share it only with service providers as needed to provide the requested inbox-assistance features, or when required for security or by law.
The farm owner can stop future access at any time through the Google Account permissions page or by contacting us. Requests to delete retained assistant data can be sent to Phoenixhillflowerfarm@gmail.com.
Phoenix Hill Flower Farm's use of information received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
How long we keep it
Order records: seven years, because we are required to keep sales records. Newsletter subscriptions: until you unsubscribe. Wedding and event enquiries: until the event is over and any follow-up is finished, and then up to two years.
Your choices
Unsubscribe from the newsletter at any time, using the link at the bottom of every email.
Ask what we hold about you, and we will tell you.
Ask us to correct or delete it. We will, except where we are required to keep an order record.
Cookies: you can refuse or clear cookies in your browser. Parts of the shop may stop working properly if you do.

Children
Our shop is meant for adults. We do not knowingly collect information from children under 13.
Changes
If we change this policy we will update the date at the top and post the new version on this page.
